Important Responsibilities:

Tender Identification and Tracking:

Monitoring various government portals and other sources for new IT service tender opportunities.

Bid Preparation:

Developing comprehensive and compliant bid proposals, including technical specifications, financial details, and supporting documentation.

Compliance Management:

Ensuring all bids adhere to the specific requirements and regulations of the tendering process, including legal, technical, and financial aspects.

Proposal Writing:

Crafting compelling and persuasive proposals that highlight the organization’s strengths and capabilities.

Submission Management:

Handling the timely and accurate submission of bids through the designated channels, including e-procurement portals.

Post-Bid Activities:

Following up on submitted bids, participating in negotiations, and supporting the transition to project execution if awarded the contract.

Documentation and Reporting:

Maintaining organized records of all tenders, bid submissions, and related documentation, as well as providing regular reports on bid status and outcomes.

Relationship Management:

Building and maintaining relationships with government officials and procurement teams.

Market Awareness:

Keeping abreast of trends and developments in government procurement for IT services. 

Required Skills:

Experience in Government Tendering:

Minimum 1-4 years of experience in preparing and submitting bids for government contracts, especially within the IT sector.

Understanding of GEM Portal and Public Procurement:

Familiarity with the Government e-Marketplace (GEM) and other e-procurement platforms used by government agencies.

Strong Analytical and Negotiation Skills:

Ability to analyze tender requirements, assess bid competitiveness, and negotiate favourable contract terms.

Excellent Communication and Interpersonal Skills:

Ability to communicate effectively with government officials, procurement teams, and internal stakeholders.

Proficiency in Microsoft Office Suite:

Including Word, Excel, and PowerPoint for document preparation and management.

Position: Tender cum Admin Specialist

Job Description (but not limited to):

  • Preparing quotations and coordinating with the sales and production teams to ensure timely order execution.
  • Regularly updating customers regarding order status and ensuring clear communication of progress and timelines.
  • Preparing and filling e-tenders independently without any guidance.
  • Knowledge of preparation of tenders, bidding, and submission of tenders.
  • Managing and preparing all contract documentation and schedules, and supporting estimation of project costs, preparation of specifications, and bill of quantities.
  • Helping the project team in preparation of techno-commercial offer drafts.
  • Uploading/submitting documents (general, technical, commercial) on online platforms.
  • Liaising with government departments for vendor registration, approvals, and renewals.
  • Reading, proof-reading, and understanding technical documents.
  • Competently working in Microsoft Word and maintaining a database of documents.
